Summer camps, schools and field trips

One child, five documents, one parent who signs them all in four minutes.

Registration opens in February. Each child needs consent, a medical authorisation, a transportation permission, a photo answer and a code of conduct — and the office has three hundred children and one filing cabinet.

Where it goes wrong

Not a feature list. These are the three moments this exists for.

Five documents per child, three hundred children

Printed in a pack, sent home in a bag, returned in pieces over three weeks. Somebody in the office knows which family is missing which page, and that knowledge lives in their head and nowhere else.

The form that matters is the one that is missing

A child with an allergy whose medical authorisation never came back is the reason this job exists. On the morning of a trip, finding that out is either a phone call or a child who does not go.

Two parents, one signature line

Separated households, a guardian who is not a parent, a grandparent doing the collecting. A paper form has one line and a pen; what you actually need is to know who is allowed to sign and who is allowed to collect.

What happens instead

1

One link, the whole packet

A parent opens it once and works through every document for that child, on a phone, in four minutes. Not five emails and five attachments and five separate signatures.

2

The documents each child actually needs

Swimming adds the water permission. A trip adds the transportation authorisation. A child under a certain age adds the guardian form. The set is decided from what you already know rather than sent by hand.

3

A readiness list, by child and by trip

Who is cleared for Thursday, and who is not, and exactly which document is missing — on the Monday, when a reminder still helps.

Two documents, in your account the moment you name your trade

Setup asks what you do. Answer "summer camps, schools and field trips" and these are waiting as drafts, in your words, with the blanks marked and the points a lawyer settles flagged for one. Edit them, or paste what you already use.

A guardian cannot always waive a child's own claim

In many states a parent may consent to an activity and still not release the child's own right to bring a claim later, and a document that pretends otherwise is worse than one that does not try. The starter marks that for an attorney, and the consent is written to do the things a consent can actually do: permission, medical authorisation, disclosure and acknowledgment.

Questions

Can different documents go to different parents?

Yes. Each document has its own signer, so a medical authorisation can go to one parent and a trip permission to another, and both are recorded separately rather than one person signing for a household.

What happens when a parent says no to photographs?

The answer is recorded on the document and it is a field you can read, which means it can be honoured by whoever is holding the camera rather than remembered by whoever collected the forms.

Does this replace our registration system?

No. It signs documents and shows who is short. Registration, rosters, payments and attendance stay where they are, and the API exists so a child record there can ask for a packet here.

How long are health details kept?

As long as the retention schedule you set, and no longer. Health notes on a consent form are exactly the sort of thing that should not sit in an account for a decade, and the engine deletes on a schedule rather than on good intentions.
